We know everyone is obsessed with planning their year-end event right now, but you're smarter than that. You're already looking into next year. And if you're planning a retreat in April, May, or June 2027, you know it starts with a decision made this fall. Companies on a calendar fiscal year are setting their 2027 budgets now, and it's hard to add an offsite later if it isn't in the budget.
Planning early also gives you better date options and less pressure on the organizing team. Here's how to approach a spring retreat, and what to do between now and then.
Why Q2 works for a retreat
• Natural checkpoint. By April, Q1 results are in and annual goals have had time to meet reality. It's a good moment to regroup before the second half.
• Before summer causes your team to scatter on trips, trade shows, or vacations. Get your team together before all that.
• Indoor and outdoor options. Late spring and early summer in Colorado open up outdoor sessions, meals, and breaks. April can still bring snow, so plan an indoor backup for early-season dates.
Why does planning start now?
• Budgets. Get a line item approved while 2027 numbers are still being set. A rough estimate with headcount, venue, food, and activities is usually enough to start.
• Dates. Spring and early summer are also wedding seasons, so popular venues book weekends and Fridays well in advance. Midweek dates tend to have more availability, and you might save money.
• Calendars. Leadership schedules fill months out. Picking a date early gives people time to save the date without juggling other events.
• Vendors. Caterers, facilitators, speakers, team-building providers, and hotel room blocks all need lead time, especially for groups.
A planning timeline for a spring 2027 retreat
1. October–November 2026: Define the purpose, headcount, and budget range. Get it approved.
2. December 2026–January 2027: Tour venues and place a hold on your date.
3. February–March 2027: Sign the contract. Book catering, facilitators, and lodging. Draft the agenda.
4. 4–6 weeks out: Confirm final headcount, dietary needs, AV, and transportation.
5. Final week: Share the agenda and logistics with attendees.
What to look for in a retreat venue
• A change of scene. The space should feel different from the office. That's much of the point of going offsite.
• Flexible layout. One room that can shift between presentations, breakouts and a meal saves time and money.
• Outdoor space. Useful for breaks, informal conversations, and receptions when weather allows.
• Easy access. A short drive for local attendees and a reasonable trip from the airport for everyone else. And don't forget parking. Everyone, local and out-of-towners, will likely have a car, and free parking is one of those quiet amenities people really appreciate.
• On-site support. A venue team that handles setup, vendor coordination and day-of logistics lets organizers participate instead of managing all of those details.
Why Golden?
Well, why NOT Golden? Golden sits at the base of the foothills, about 15 miles west of downtown Denver and about 20 miles south of Boulder. It's an easy drive for teams based in either city, or far enough away to feel like you've left the office behind.
Downtown is walkable, with restaurants, shops, and Clear Creek within a few blocks. That makes it easy to build in a team dinner or free time without arranging extra transportation.
The Ivy Social House is a former church at 1950 Ford Street in downtown Golden, built in 1947 and adapted as an event venue. It offers indoor and outdoor space on a 0.44-acre property, with Avant Garde Event Services managing event operations.
Retreat formats that fit a smaller venue
• Leadership strategy session: a focused day or two for a small group setting priorities for the second half.
• Team reset: a mid-year gathering to review progress and realign on goals.
• Half-day workshop and dinner: morning or afternoon sessions followed by a meal on-site or in downtown Golden.
• Client appreciation event: a reception or dinner for key clients and partners.
